Card Payments vs. Bank Transfers: Where Your Money Actually Goes

MiaBy MiaSeptember 25, 20263 Mins Read

Ask ten business owners what they pay to accept payments, and you’ll get ten vague answers. “Around three percent, I think?” is the most common. It’s usually close, but it’s rarely the whole story.

What you’re really paying for with cards

Every time a customer taps or types in a card, several parties take a slice. The bank that issued the card takes a portion, the card network takes a smaller one, and your processor adds its own margin on top. What lands on your statement is a blend of all three.

That’s why credit card processing fees can feel so confusing, and why it’s worth reading a plain-English explanation before you sign any contract. Costs also vary by card type. A premium rewards card often costs you more to accept than a basic debit card, and online transactions usually cost more than in-person ones.

The bank transfer alternative

Now compare that with paying directly from a bank account. There’s no card network in the middle, so the cost structure is completely different. Instead of a percentage of the sale, many providers charge a small flat fee or a low percentage with a cap.

If you want to see how that plays out, this guide to ach processing fees is a good place to start. For high-value payments like B2B invoices, tuition, rent, or subscriptions, the difference can be dramatic. A percentage of a $5,000 payment hurts. A small flat fee doesn’t.

So which should you use?

Honestly, both. Here’s a rule of thumb that works for most businesses:

  • Cards suit quick, low-ticket purchases where convenience wins.
  • Bank transfers suit large, recurring, or predictable payments where cost matters more than speed.

Cards give you instant confirmation and a smoother checkout. Bank transfers cost less but can take a few days to settle, and failed payments (insufficient funds, for example) need careful handling.

How to nudge customers without annoying them

You don’t want to force anyone. A few gentle approaches work well:

  • Offer bank payment as a clearly labeled option on invoices.
  • Make it the default for recurring billing.
  • Add a short note like “Pay by bank transfer for faster, lower-cost processing.”

Most business customers are happy to switch, since they’d rather not pay card surcharges either.

What to do this week

Pull up your last month of payments and sort them by size. You’ll probably see that a handful of large payments account for a big share of your fees. That’s your opportunity. Moving even a few of them to bank transfers can noticeably shrink your monthly costs.
